Elsenham Village Hall FAQs

Elsenham Village Hall is a Registered Charity managed by a committee of local people for the benefit of the local community.

Here are some of the regular questions that we are asked.

Where is the village hall?

Elsenham Village hall is situated adjacent to Elsenham Primary School, High Street, Elsenham, United Kingdom, CM22 6DD

How much does it cost to hire the village hall?

This will depend upon the type of event you are organising. We hire the hall out in morning, afternoon and evening sessions on a Saturday, and from 5.30-10pm Monday- Friday.  *Prices are per hour.

How do I book the village hall?

To book ON-LINE, look at the ‘Hallmaster’ booking schedule on this page https://v2.hallmaster.co.uk/Scheduler/View/11995?startRoom=0&customerView=true  or linked to our Facebook page . https://www.facebook.com/ElsenhamVillageHall  You need to be registered to book. To do that,  navigate to the day you want to book and ensure that the hall you want is still available.

Click on the ‘+’ (plus) sign of that hall, for that day. You will then be taken into a signing up process. If you already have a Login, press the ‘Customer Login’ button. Enter your next booking dates and time. You can book future recurring dates here too (e.g  the next 10 weeks at the same time)

Creating your on-line Booking

Bookings are for a minimum of 1 hour, there after in further half hour or hour slots. You MUST allow enough time for setting up and cleaning up in your booking time, as we do have back to back bookings.

Privacy setting

If you select ‘Public‘ then others can see your name, email address and phone number.  This is useful if it is a public class or event, so people can contact you directly. Alternatively, if you wish to keep your details hidden select ‘Private’.

All bookings are made at a request level, the Admin Team will confirm you booking ASAP. You will receive an email from the Hallmaster system confirming your booking. If you do not see it in your email ‘INBOX’ it may have gone into your ‘JUNK’ or ‘SPAM’ so please ensure that the Hallmaster email address (noreply@hallmaster.co.uk) is added to your address book.

Invoicing and Payment

An invoice will be raised and emailed to the address you provided. The email will inform you how to pay, to secure your booking please pay as soon as the invoice is received.

​

 If you want to see round the hall, this is fine, but you need to make an appointment and this needs to be at a time when you are free, we are free and the hall is free. It is important if you make an appointment to turn up on time as we have to come to the hall especially. 

​

What are the Terms and Conditions?

When you make a booking the full terms and conditions will be sent to you; these are fairly standard T&Cs similar to most village halls.
We also have some additional conditions if you are holding a party or social event which clarify some activities relating to potentially noisy gatherings

​

Does the person who makes the booking have to be present at the event?

If the person hiring the hall is not going to be present, then the names of one or more responsible people who are going to be present must be supplied when booking.

​

What if I need to cancel?

A full refund will be given if you cancel up to two weeks before your booking. Within two weeks of the booking it is at our discretion, but we do try to be as reasonable as possible.

​

What insurance does the village hall have?

If you are a commercial hirer you must provide your own public liability insurance.

​

Noise

We want to make the hall a great place to hire and that involves keeping our neighbours happy. Please respect our neighbours and keep any noise level to a minimum both when using the hall or entering and leaving it.

​

Can I smoke in the hall?

No. Silly question.

​

Are dogs and pets welcome in the village hall?

No, the only exceptions are official guide or assistance dogs.

​

Do you have a car park?

There is a large car park at the hall.

​

Do you have Wifi?

Unfortunately not, but there is a strong 4G signal.

​

What are your toilet facilities?

We have separate toilets and an accessible toilet.

​

Do you have baby changing facilities?

Unfortunately not at present.

​

Do you have a projector or display equipment?

No, but there are large plain walls which are suitable for projection.

​

What about access to the hall for those with access needs?

There are level floors throughout the entrance hall and the Main hall and an accessible toilet. The meeting hall is entered via a spiral staircase.

​

Where is the first aid kit?

There is a first aid kit in the main kitchen. If you use the first aid kit please let us know so we can refill it as required.  The nearest defibrillator is located outside Elsenham Surgery, Station Road CM22 6LA, another is outside Elsenham Memorial Hall (opposite the Tennis Court) CM22 6BY.

Can I bring my own electrical equipment?

Yes, but please ensure that any electrical equipment provided by you or a third party is safe and PAT tested?.

​

What facilities do you have in the kitchen?

There is a small kitchen, with a sink, fridge, cooker, work surface, cups and saucers for 60+ Please bring tea towels and bin bags.

​

I would like to hire the hall for a children's party, is the hall suitable?

Yes - our hall is ideal for children's parties. We do stipulate that the whole hall is booked to ensure that all persons on the premises are known to you, so the Meeting Room would not be available. We do not allow bouncy castles inside the hall.

​

I would like to hire the hall for a teenage party, is the hall suitable?

No, we do not accept bookings for parties from the ages of 13 upwards.


Can I arrive earlier than my booking time to set up?

No, all preparation and clearing away time must be included in your hire period.

​

Can we add extra time to our booking on the day of the event?

This is at our discretion and will depend on whether there is anything booked after your event. Any extra time will incur an extra charge.

​

Can I have a fish and chip van?

Yes, we have a area of tarmac driveway and a large carpark outside the hall where a catering van can park.

​

Can we have fireworks, or launch chinese lanterns or balloons?

No. We are in a rural area and these present hazards to animals and the environment.

​

Can we have helium balloons inside the hall?

For environmental reasons we strongly urge you not to use these; helium is a finite resource and should be saved for more important uses.

​

What if we break something?

If you break anything please let us know; ring the caretaker or email.

​

Where do I pick up the keys?

We will meet you at the hall and tell you everything that you need to know.

​

What do we do with our rubbish?

Please ensure that you take all rubbish with you when you leave the hall as we do not have facilities for bulk refuse. You will need to bring your own bags.

​

What about cleaning after my booking?

Please ensure that the hall is left in the same condition in which you found it. Check windows are closed and locked, replace any tables/chairs to where they are stored, turn the cooker off, leave the kitchen tidy and remove your rubbish. There is a large broom which can be used to sweep the hall.
If you do feel that extra cleaning is required ( e.g from sticky spills, or muddy patches) then there is a mop and bucket available in the kitchen. Please use a little water (no products) to spot mop any specific areas.

How do I turn on the heating?

The heating will be turned on for you before your booking starts.

Inside the building is a large main hall with kitchen and a small meeting room which is accessed via a spiral staircase. Both rooms, and the cloakroom facilities, are accessed independently from the entrance hall so can be used by different groups at the same time.

There is a large car park...

The bright and airy small room is perfect for business meetings and small gatherings.



The Meeting room is a bright, smaller room , ideal for committees or smaller discussion groups. It is upstairs and accessed by a spiral staircase, which limits accessibility.

The Main Hall is a large bright room with a wooden floor which is suitable for groups seated at tables for an event or a child's party celebration. It has an adjoining kitchen.           



There is a small kitchen, with a sink, fridge, cooker, work surface, cups and saucers for 60               

Chairs and tables are available in the storage cupboard.



The Main Hall and Meeting Room can access the toilet areas independently via a corridor downstairs. The toilets are designated accessible, male and female.
